This Feature is in Beta Testing: As this functionality is currently a beta feature, report any unexpected system behavior or technical issues by submitting a support ticket: https://wfpus.org/votivate-ticket. (This link is accessible to all Votivate users. WFP staff may also use wfpus.org/submit-a-ticket.)
1. Feature Overview & Security Architecture
The Votivate self-service Volunteer Signup Feature allows campaign staff to generate custom links so volunteers can independently request platform access.
Because Votivate contains highly sensitive voter files and personal address information, strict security guardrails and manual review mechanisms are integrated into this feature:
- Role Restrictions: Signup links are strictly restricted to lower-level roles—specifically Canvasser or Lead Volunteer. Administrative, Field Staff, and Organizing Director roles are explicitly excluded from self-signup links to prevent unauthorized high-level access.
- Mandatory Manual Approval: All submitted volunteer requests require explicit approval by an administrator before access is granted.
- One-Time Link Visibility: For security, generated signup links are displayed only once upon creation.
2. Generating a Volunteer Signup Link
Follow these steps to create a new signup link for your campaign or event:
- Navigate to the Staff & Vols page using the main left navigation menu.
- Click the red + VOLUNTEER SIGNUPS button located in the top-right corner of the interface.
- In the popup window, configure the required parameters:
| Parameter | Configuration Description | Operational Recommendation / Example |
|---|---|---|
| Label | Internal tracking name for the link. | Use clear identifiers (e.g., AJ Test or AK Canvass Event). |
| Campaign | Target campaign assignment. | Select specific state/campaign (e.g., AK - Statewide Membership). |
| Role | Permission level granted upon approval. | Restricted to Canvasser or Lead Volunteer. |
| Link Open For (Days) | Number of days the signup link remains active. | Set according to event or campaign usage window (e.g., 3 to 30 days). |
| Max Signups | Maximum allowable signup submissions. | Set a strict cap (e.g., 5 or 100) to prevent unauthorized spread. |
| Member Access (Days) | Duration of platform access granted to approved volunteers. | Set based on timeline (e.g., 6 days leading up to Election Day). |
- Click CREATE LINK to generate the unique URL.
3. Link Preservation & Distribution Protocol
- Immediate Link Copying: Because the system only displays the generated link once, you must copy it immediately after creation and save it in a secure location (such as an email draft or planning document).
- Distribution Channels: Distribute the copied URL to prospective volunteers via direct messaging, email outreach, or Mobilize event confirmation pages.
4. Volunteer Signup Experience
When a prospective volunteer opens the link, they experience the following workflow:
- Form Completion: The volunteer lands on a branded registration card displaying the campaign and role name. They input their Full Name and Email Address, then click REQUEST TO JOIN.
- Submission Confirmation: A confirmation screen appears stating that the Working Families Party is reviewing the request and will notify them via email upon approval.
- On-Site / Shared Device Mode: If collecting signups on a shared tablet or device during an event, users can click SIGN UP SOMEONE ELSE to immediately reset the form for the next volunteer.
5. Administrative Review & Link Management
Administrators must manually process incoming signup requests and track link usage.
Reviewing & Approving Requests
- Click the VOLUNTEER SIGNUPS red button on the Staff & Vols page.
- Select the REQUESTS tab.
- Filter requests by status (Pending, Rejected, or Approved) or search by name/email.
- Select the applicant's entry and click APPROVE (or REJECT) followed by confirming the prompt.
Managing Active Links & Monitoring Usage
- Select the LINKS tab inside the Volunteer Signups modal.
- View link metrics, such as used vs. available submission counts (e.g., 1/5 uses).
- Revoking Access: To instantly disable an active signup link, select REVOKE. This prevents any further submissions even if the link duration has not expired.
6. Automated Onboarding
- Automated Welcome Email: Upon admin approval, the system sends an automated email (support@votivate.com) to the volunteer. The email confirms their assigned campaign, role, and access end date, and provides a Sign in with Google button along with a password creation option.
